Planner and team calendar

Run your team's schedule in Clyentra's Planner workspace. Create events, check team availability before you book, catch conflicts, and switch between calendar, board, and list views.

The calendar at /planner/calendar is one face of a larger Planner Workspace — "Events, meetings, calls & tasks in one place". Events and tasks share the same workspace here, because in practice they compete for the same hours in your day.

Three ways to look at the same schedule

Inside the Calendar view, four sub-views: Day, Week, Month and Schedule. Schedule view is the agenda-style list — the one to use when you want to read the week rather than look at it.

Scoping and filtering

Two filters sit above the grid. A scope toggle switches between my and all and defaults to my, so you open the calendar on your own schedule rather than the whole organization's. A type filter narrows by kind: All Events, Meetings, Calls, Tasks.

Tasks show up here too: The Tasks type filter is not decoration — tasks with dates land on the calendar next to your meetings. If your day looks empty but you are drowning, switch the scope to all and the type filter to All Events and you will see why. See tasks-and-time-tracking.

Creating an event

The New Event button — "Schedule a new meeting, call, or task" — opens the Create New Event panel, "Fill in the event details".

  1. Title and type. Event Title (placeholder: "Add title"), then Event TypeMeeting, Call, Reminder, Note, Task, Appointment. The type drives the colour the event takes on the grid.
  2. Time. Start and End. A Same end date control keeps single-day events tidy.
  3. Guests and place. Add guests from your team (Select attendees) and a Location. For a remote call, use Meeting Link instead — it must be a valid http:// or https:// URL, so paste the whole thing rather than a bare domain.
  4. Status and Priority. Status is Scheduled / Confirmed / Canceled / Completed / Pending. Priority is Low / Medium / High / Urgent / Critical.
  5. Repeat, notify, save. Repeat offers Does not repeat, Daily or Monthly. Tick Send Notification if guests should be told, then Save.

Event recurrence is narrower than task recurrence: Events repeat daily or monthly only — there is no weekly or yearly option. Tasks are the opposite: they support daily, weekly, monthly and yearly with an interval and an until-date. If you need a weekly recurrence, model it as a recurring task in tasks-and-time-tracking.

Team Availability — book without collisions

The Team Availability panel is the part of the planner that earns its keep. It shows busy and free segments for the people you are scheduling with, and it flags conflicts against the window you are proposing — before you send anything, not after someone declines.

Pick your guests, set a start and end, and read the panel. Busy segments are marked Busy; anyone whose existing commitments overlap your proposed slot is called out as a conflict. Move the window until the conflicts clear, then save.

The Daily Agenda and the event sidebar

A Daily Agenda panel lists what is on for the selected day — when nothing is, it says "No events scheduled". Clicking any event opens a detail sidebar with everything on the record and the actions to change it.

In Board and Event List views you can select multiple items and change status or priority in bulk — the fast way to close out a week of completed calls.

One drawer, two outcomes

The Planner create drawer can produce either a task or an event. That is deliberate. "Call Acme back on Thursday" is arguably both, and the point of the Planner is that you do not have to decide which app it belongs in — only which object suits it.

External calendar sync

Clyentra does not sync with Google Calendar, Outlook, or iCal: There is no external calendar sync of any kind — no two-way sync, no subscribe-by-URL, no .ics feed. Events created in Clyentra live in Clyentra. Plan for this: if your team runs its life out of Google Calendar, decide up front which calendar is the source of truth for Clyentra work rather than assuming the two will reconcile themselves.

Meetings and the calendar

Clyentra's video service only creates instant meetings. To put a call in the future, start the meeting, copy its meet.clyentra.ai link, and paste it into an event's Meeting Link field. See video-meetings.

Check availability first, always: The single habit that makes this screen worth using: pick the guests before you pick the time. The availability panel then tells you which slots actually work, and you book once instead of three times.

Questions people ask

Can I sync Clyentra's calendar with Google Calendar or Outlook?

No. Clyentra has no external calendar sync — not Google Calendar, not Outlook, not iCal or .ics subscription. Events you create in Clyentra stay in Clyentra. Decide which calendar is your source of truth for Clyentra work and stick to it.

Why is there no weekly repeat option on my event?

Events repeat daily or monthly only. Weekly and yearly recurrence exist for tasks, not events — tasks support daily, weekly, monthly and yearly with an interval and an until-date. Model a weekly commitment as a recurring task instead.

My meeting link won't save.

The Meeting Link field validates as a URL and only accepts http:// or https://. Paste the full address — https://meet.clyentra.ai/abc-123, not meet.clyentra.ai/abc-123.

How do I know if a guest is free before I invite them?

Use the Team Availability panel. It shows each person's busy and free segments and flags anyone whose existing commitments conflict with the window you are proposing, so you can move the slot before you save.

Why does the calendar only show my own events?

The scope filter defaults to my. Switch it to all to see the whole organization's schedule, subject to what your role permits — see roles-and-permissions.

Can I schedule a video call for next week from the calendar?

Yes, in two moves. The Meetings screen only creates instant meetings, so start one, copy its link with Copy meeting link, then create the event for next week and paste that link into Meeting Link. See video-meetings.

Why are tasks appearing on my calendar?

By design — the Planner holds events, meetings, calls and tasks together, so dated work shows next to your meetings. Use the type filter (All Events / Meetings / Calls / Tasks) if you want to look at only one kind.
