Video meetings
Clyentra hosts its own video service and embeds the call inside the app. Start an instant meeting, join by ID, share the link, and keep working while the call runs.

Meetings live at /planner/meetings — the screen is Meetings, "Video Conferencing". Calls run on Clyentra's own hosted video service at meet.clyentra.ai and are embedded directly in the app. You are not bounced to a third-party tab and you are not asked to install anything.
Starting a meeting
Start — "Start an instant meeting" — creates a room and drops you straight into it. There is no pre-join lobby: no device-check screen, no waiting room. Press the button and you are in the call with camera and mic live.
Check your camera before you press Start: Because there's no lobby, the call begins with your camera and microphone on. If you need a moment to compose yourself, take it before you press Start, not after.
Joining a meeting
Join — "Join an existing meeting" — opens a dialog asking for a Meeting ID. Paste the ID someone sent you and you're in. If they sent a full link instead, opening the link works too.
Keep working during a call
The call window minimizes to a corner of the app. Shrink it and you can carry on inside Clyentra with the call still running — pull up the lead you're discussing, add the task you have this second agreed to, check the invoice someone asked about. The meeting doesn't drop when you navigate.
Sharing a meeting
Every meeting card carries the creator's name and an Instant badge, plus four actions.
| Action | What it gives you |
|---|---|
Copy meeting ID | The ID on its own — for people who will paste it into Join |
Copy meeting link | The full meet.clyentra.ai/<meeting-id> URL — for email, chat, or a calendar invite |
Join this meeting | Rejoin a room you or a teammate already created |
Delete meeting | Remove the meeting from the list |
A Meetings Overview bar along the bottom of the screen tracks three counts: Total Meetings, Today, and Instant.
Scheduling a meeting for later
This screen only creates instant meetings: There is no "schedule for Thursday at 2pm" here. To put a meeting in the future, create a calendar event and paste the meeting link into its virtual meeting link field — see team-calendar. Everyone invited to the event gets the link with it.
- Start the meeting now. Press
Startto create the room. The room and its ID persist — you don't have to stay in the call. - Copy the link. Use
Copy meeting linkon the meeting's card to get the fullmeet.clyentra.aiURL. - Create the calendar event. In the planner, create an event for the date and time you want and paste the URL into the
virtual meeting linkfield. - Invite the guests. Add guests to the event and tick
Send Notification. When the time comes, everyone opens the same link.
Who can start and join
Starting a meeting, joining by ID, and deleting a meeting all require the Meeting permission at Editor. If a teammate can see the screen but can't act on it, that's the permission to check — see roles-and-permissions.
Questions people ask
Can I schedule a meeting for next Tuesday?
Not from the Meetings screen — it creates instant meetings only. Start the meeting, copy its link, then create a calendar event for Tuesday and paste the link into the event's virtual meeting link field. See team-calendar.
Do participants need a Clyentra account?
Share the meet.clyentra.ai/<meeting-id> link and they open the call in their browser. Starting and joining from inside the app requires the Meeting permission at Editor.
Is there a waiting room or device check before I join?
No. There's no pre-join lobby — pressing Start or Join puts you straight into the call with camera and mic on.
Can I keep using Clyentra while I'm on a call?
Yes. Minimize the call to a corner and navigate anywhere in the app — open the lead you're discussing, log a task, check an invoice. The call keeps running.
Which video platform does this use?
Clyentra's own hosted service at meet.clyentra.ai, embedded in the app. You don't need a Zoom, Meet, or Teams account, and there's nothing to install.
Someone sent me an ID rather than a link — what do I do with it?
Press Join, paste the ID into the Meeting ID field, and confirm. That's exactly what the field is for.
